Academic Advisor (High School)

Reports to: High School Lead

Coordinates with: Admissions Department, Records Department, Self-Paced Department, and Student Support Team

Status: Part-Time (15-20 hours per week)

Location: Remote 


Position Summary

The Academic Advisor supports Bayaan Academy’s high school students by ensuring smooth course scheduling, accurate credit transfer evaluations, and clear communication regarding graduation requirements. The advisor plays a pivotal role in helping students and families understand academic pathways and requirements while coordinating efficiently with the admissions and operations teams.

This position focuses on scheduling, graduation tracking, and student record management. The role reports directly to the High School Lead and works in coordination with Admissions for transfer credits and Records teams for system updates.


Key Responsibilities


1. Academic Advisement and Graduation Tracking

  1. Guide students and families on course sequences, graduation requirements, and available academic pathways.
  2. Review student academic progress and identify any missing credits or prerequisites.
  3. Ensure accurate tracking of students’ progress toward graduation in PowerSchool.
  4. Coordinate with the High School Lead on academic pathways, accelerated programs, and early graduation options.


2. Scheduling Management

  1. Manage student schedules and course changes directly within PowerSchool, including adjustments due to prerequisites, course conflicts, or self-paced enrollments.
  2. Implement and communicate schedule changes to families promptly and clearly.
  3. Collaborate with the High School Lead and Records Department to ensure course data accuracy.
  4. Serve as the primary point of contact for schedule adjustments.


3. Credit Transfer Coordination

  1. Collaborate with the admission/records team to review and process credit transfer requests for incoming and returning students.
  2. Ensure consistency and accuracy in evaluating credits from external institutions.
  3. Maintain documentation and verification of transferred credits in PowerSchool.


4. Collaboration and Workflow Alignment

  1. Work closely with the Admissions Department during the July–October enrollment period to ensure new student records are accurate and scheduled correctly.
  2. Coordinate with Records for transcript requests and course completion updates.
  3. Communicate effectively with the Self-Paced Department when students require individualized pacing or scheduling accommodations.
  4. Participate in regular check-ins with the High School Lead to align on student progress and system improvements.
